Position text box on top of shape or not ? - PPT 2019

You can place text boxes on top of shapes but there are some disadvantages.

Alignment of text in shape is more difficult

Below is an example where we need to evenly distribute all the shapes horizontally on the slide. 

In the first example the text is part of the shape.

So I select the first row of shapes and I click the Format tab, then Align and finally I choose Distribute horizontally making sure that Align to slide is active.

I repeat the procedure for the second row and press F4. So two operations to get a result.

Now the slide looks like this:

In the second example the text is in a text box on top of the shape.

When I select the first and the second row separately and apply Distribute horizontally the slide looks like this:

Even if I select the shapes and the text boxes separately and align them, the result is not good. So it requires a lot more work to distribute the boxes horizontally across the slide.

Animation of shape and its text is more difficult

Let us consider the same example. I wish to animate the shapes of the first row by applying the Float down effect. The second row with the Float up effect. All shapes and the accompanying text should be animated separately with one click.

So selecting the first and second row is enough to apply the desired effect. There are only six animations needed to animate each shape.

If the text boxes are placed on top of the shape the animation is more complex. You need to select more, all shapes and text need to be animated individually. That takes 12 animations in total.

It is more difficult to keep the text in the shape.

If you add more text to the shape there is no problem when text is inside the shape. If the text is on top of the shape you need to realign.

Further more, if you adjust the size of the shape the text which is in the shape will realign automatically. If the text is above the shape it will bleed outside the shape. Grouping the shape and the text will not solve the problem.

Working in the Selection Pane is more difficult

The selection pane will contain more items so will be less clear.

Moving content on the slide, or to other slides is more difficult

Moving shapes will take more time and effort.

Break linked image in PPT 2019

In PPT you can embed or link images. To link a picture just click on the list arrow next to the Insert button in the Insert dialog box, three choices are available.

Insert: default, the image is embedded in your presentation and will always be an integral part of your presentation. Deleting or moving the original image on your computer will have no effect on the image in your presentation. 

Link to file: links the picture from the folder to the slide where you inserted it. PPT only remembers the path and the name of your picture instead of the whole image. If you delete or move the picture PPT will show an empty nox containing a red-x stating that the picture cannot be shown. Link to file reduces the size of the presentation considerably.

If you want to send the presentation by email to another user always insert the picture in the same folder as your presentation before you insert it. Save your presentation at least one time before inserting the picture in your slide. Be sure to send both files to the recipient asking them to put them both in the same folder.

Insert and link: the picture is embedded in the presentation and will be updated if you edit the picture later. 

Break link

What if it is no longer necessary to link the pictures. In that case you can break the link.

Click File - Info and click on the Edit links to files option at the bottom of the screen.

Select the picture in the dialog and click the Break link button.

As I only inserted one link the dialog is now empty.

The previously linked image now belongs to the file.

If a red x appears in your presentation then you probably moved the picture. PPT is unable to find the picture and shows an error message.

If the picture has been moved then you can edit the lnk so it points to the exact location.

Click File, choose Info, click the option Edit links to files.

Select the picture and click the Change source button.

Navigate to the new location, select the picture and click the select button in the dialog.

The picture should be back in your presentation.

Gelinkte afbeelding ontkoppelen in PPT 2019

In PPT kan je afbeeldingen invoegen of linken. Linken doe je in het dialoogvenster Afbeelding invoegen door te klikken op het pijltje naast Invoegen. Je krijgt drie mogelijkheden:

Invoegen: standaardkeuze, als je dit kiest wordt de afbeelding ingevoegd in je presentatie en zal er dus altijd deel van uitmaken. Als je de afbeelding later wist of verplaatst heeft dat geen invloed op de afbeelding in je presentatie. 

Koppelen aan bestand: koppelt de afbeelding uit je map aan de dia waar je deze plaatst. PowerPoint slaat alleen het pad en de naam van je afbeelding op in plaats van de hele afbeelding. Als je de originele afbeelding wist of verplaatst dan krijg je een klein rood X-pictogram dat aangeeft dat PPT de gekoppelde afbeelding niet kan weergeven. Koppelen aan bestand verkleint aanzienlijk de grootte van je presentatie.

Wil je de presentatie doorsturen naar een andere gebruiker kopieer dan altijd eerst de gebruikte afbeelding naar dezelfde map waar je presentatie zich bevindt vooraleer je ze invoegt. 

Sla de presentatie ook minstens één keer op voordat je de afbeelding in je dia plaatst. 

Verstuur dan beide bestanden en vraag aan de bestemmeling van ze ook in dezelfde map te plaatsen.

Invoegen en koppelen: de afbeelding is ingesloten in de presentatie en wordt ook geupdated als je deze aanpast. 

Link verbreken

Wat als je achteraf de afbeeldingen/foto's niet meer wil linken? Dan kan je de link verbreken.

Klik op het menu Bestand, kies Info, klik onderaan op de optie Koppeling naar bestanden bewerken.

Selecteer de afbeelding die je wil ontkoppelen en klik in het dialoogvenster Koppelingen op Koppeling verbreken.

Aangezien ik maar één afbeelding had gelinkt is het dialoogvenster nu leeg.

De eerder gelinkte afbeelding hoort nu bij het bestand.

Wat als je in een presentatie een kader met een rode-x ziet verschijnen in de plaats van de gelinkte afbeelding? In dat geval heb je de afbeelding waarschijnlijk verplaatst. PPT vindt de afbeelding niet meer en toont een foutmelding. 

In dat geval  kan je de link bewerken zodat deze terug wijst naar de juiste locatie.

Ga terug naar Bestand, kies Info, klik onderaan op de optie Koppeling naar bestanden bewerken.

Selecteer de afbeelding en klik op de knop Bron wijzigen...

Navigeer naar de nieuwe locatie, selecteer de afbeelding en klik onderaan op de knop Selecteren.

De afbeelding/foto zou nu terug moeten aanwezig zijn in de presentatie.

Online comprimeren van grote bestanden met WeCompress - PPT 2019-2024
