Reduce size of a Word handout in PPT 2013 (review)

You can make a hand-out of a PPT file by sending the file to Microsoft Word. This subject has already been treated in my blog, but for version PPT 2003. This is an update for PPT 2013/2016. This time I added some screenshots and new items. 

In PPT 2013 you can convert a presentation to a Word handout by clicking on the File menu, choosing Export and then Create handouts.

There are some formats to choose from, Paste is the default method.

Pasting is by no means the best choice, PPT creates an Ole object from each slide which increases the size exponentially. You can edit each slide though by right clicking it and choosing Slide object, Edit. Changes are only active in the Word document.

The second choice is Paste link. This on itself will generate a serious reduction of the file size. You still can edit the slide by double clicking it, changes are recorded in the Word and PPT file.

Once the handout has been generated you can break the links. In Word go to File - Info - click on the Edit links to files option, bottom right hand side ot the screen. In the dialog click the first link then shift+click the last link, click the Break link button.

You can also sever the links in Word by selecting the complete text and pressing Ctrl+Shift+F9, in the message click Yes if you want to break the links and save the document.

I have tested with a PPT file of 6,5 Mb.
If you choose Paste (default) the file is 177,9 Mb.
If you choose Paste link the file is 135,8 Mb.

Reduce it further

Still a very large file. To reduce it further you can do the following. Select the picture of the slide, right click it, choose Edit picture. Word will ask if you want to convert the picture into a Microsoft drawing object. Click Yes and repeat the process for the other slide thumbnails. A very time consuming job.

After saving the file it is only 8,7 Mb. Do keep in mind that the conversion will generate some quality loss. Charts, WordArt objects, fill patterns will look less sharp. Slides can still be edited, but it is not easy nor very practical to do so.

As an alternative, but time consuming. Copy the thumbnail in Word, delete the thumbnail then paste special back in as a png file. That gives an enormous reduction, I tested on a 19 Mb file which resulted in a 384 Kb file. The presentation consisted of only 18 slides which is still doable.

Consider exporting to PDF

Finally you can break the links in the Word document and save it as a PDF. File - Export - Create PDF/XPS document. Choosing Standard delivered a document of 479 KB, choosing Minimum size delivered a document of 365 Kb. Some quality loss may be expected.

Je kan een hand-out maken van een PPT bestand door het bestand naar Microsoft Word te sturen. Dit onderwerp kwam reeds eerder aan bod in de blog namelijk voor de versie 2003. Dit is een update voor de versie PPT 2013. Het onderwerp is nog wat verder uitgediept en de nodige schermafdrukken maken het geheel wat meer bruikbaar.

In PPT 2013 kan je de diavoorstelling omzetten in een Word hand-out  via Bestand - Exporteren - Hand-outs maken.

Je kan kiezen tussen enkele vooraf ingestelde modellen. Standaard worden de dia's geplakt.

De standaardkeuze Plakken is niet de juiste keuze, PPT maakt van iedere dia een OLE-object en het bestand neemt exponentieel toe. Je kan iedere dia editeren door er rechts op te klikken en te kiezen voor Dia-object - Bewerken. De wijzigingen zijn enkel geldig voor het Word document.

Je kan ook kiezen voor Koppeling plakken. Op zich levert dit al een serieuze reductie op. Als je een dia wil editeren kan je die dubbelklikken. De volledige presentatie wordt opgestart en de wijzigingen staan zowel in het PPT bestand als in het Word bestand. 

Als de hand-out klaar is kan je de koppelingen verwijderen. Dat kan op twee manieren. Ga in Word naar Bestand - Info - klik op Koppelingen naar bestanden bewerken - selecteer alle koppelingen via klik (beginpunt) en shift+klik (eindpunt) - en klik op de knop Verbreken. 

Of selecteer in Word de volledige tekst en druk de combinatie Ctrl+Shift+F9, klik Ja bij de vraag of je de koppelingen wil verbreken. Bewaar vervolgens het document opnieuw en je zal nu een normaal Word document bekomen zonder de koppelingen.

Ik heb het even uitgetest met een PPT bestand van 6,5 Mb.
Als je gewoon voor plakken kiest (de standaardinstelling) krijg je een bestand van 177,9 Mb.
Kies je voor Koppeling plakken dan krijg je een bestand van 135,8 Mb.

Verder reduceren

Dat is nog altijd gigantisch veel. Om het bestand verder te reduceren kan je in het Word document het volgende doen. Selecteer de afbeelding van de dia, klik erop met je rechtermuisknop en kies Afbeelding bewerken. Word vraagt je of je de afbeelding wilt omzetten in een Microsoft tekenobject, klik Ja. Herhaal dit voor alle afbeeldingen. Een tijdrovend werkje.

Na het opslaan is het bestand nog 8,7 Mb groot. Denk eraan dat de omzetting wel wat kwaliteitsverlies met zich zal brengen. Vooral grafieken, WordArt objecten, arceringspatronen en dergelijke. De dia's blijven wel editeerbaar, maar gemakkelijk/praktisch kan je dat niet noemen. 

Als alternatief kan je ook het volgende proberen. Selecteer in Word het pictogram van de dia, kopieer, verwijder het pictogram en plak met plakken speciaal terug als png bestand. Op een bestand van
19 Mb gaf dat een reductie tot 384 Kb. De presentatie bestond uit 18 dia's, dus nog net uitvoerbaar.

Overweeg van het bestand op te slaan als PDF-bestand.

Je kan je na het verbreken van de koppelingen het Word document opslaan als een PDF. Je doet dit via Bestand - Exporteren - PDF of XPS document maken - knop PDF of EPS maken. Kies je voor Standaard dan bekom je een bestand van 479 KB, kies je voor Minimale grootte dan bekom je 365 Kb. Dit gaat wel ten koste van de afbeeldingskwaliteit en niets is nog editeerbaar.

Je kan een hand-out maken van een PPT bestand door het bestand naar Microsoft Word te sturen. Dit kan via Bestand - Verzenden naar - Microsoft Office Word. Je kan kiezen tussen enkele vooraf ingestelde modellen. Standaard worden de dia's geplakt.

Jammer genoeg neemt het hele proces nogal wat tijd in beslag en het afgeleverde bestand neemt ontzettend in omvang toe. Aan de omvang kan je echter wel wat doen.

Wanneer je naar Word stuurt kan je ook kiezen voor het keuzerondje Koppeling plakken. Op zich levert dit al een serieuze reductie op. Eens het proces voltooid is kan je de links naar de dia's in het Word bestand verwijderen (om de links te zien kan je Alt+F9 drukken). Dit doe je in Word door de volledige tekst te selecteren en de combinatie Ctrl+Shift+F9 te drukken. Bewaar vervolgens het document opnieuw en je zal nu een normaal Word document bekomen.

Ik heb het even uitgetest met een PPT bestand van 1,9 Mb.
Als je gewoon voor plakken kiest (de standaardinstelling) krijg je een bestand van 7.7 Mb.
Kies je voor Koppeling plakken dan krijg je een bestand van 3,9 Mb.
Verwijder je de koppelingen dan krijg je een bestand van 877 Kb.

If you want hand-outs you can send a PPT file to Word. File menu, Send to, Microsoft Office Word. You can choose between different styles, but it can take a lot of time and can crash from time to time. Many people complain about the enormous increase in size, which leaves you with a huge Word file. Something can be done about that though.

When you send to Word you can choose between pasting and paste linking to the PPT file.
If you want to keep the size limited choose paste link. That will in itself reduce the size considerably. But if you unlink the slides in Word (press the Alt+F9 combination to see the links) you will get a dramatically reduced file. To do so select the entire document in Word and press Ctrl+Shift+F9. Then save the document again.

I tested this with a PPT 2003 file of 1.9 Mb.
The paste option resulted in a file of 7.7 Mb.
The paste link option resulted in a file of 3.9 Mb
The unlinked Word document resulted in a file of 877 Kb.
