The quick access toolbar is the only item left in the interface the user can still customize.
There are only three buttons in the toolbar when you first fire up PPT. Save, Undo and redo.
Luckily you can add some buttons to the quick access toolbar very quickly and I would certainly advise to do so. Just click on the arrow beside the toolbar and check the options you want. I recommend adding, New, Open, Print preview. That should give you the following toolbar:
That should prevent you from having to access the Office-button all too often to use these three basic functions.
These are easily accessible. But there is more, you can add any button that you want to the quick access toolbar.
For instance it is an annoyance you can't close the current presentation using the black close button one used to have in PPT 2003. When you use the x in the upper right corner, and you have but one presentation active, the program closes.
So I will show you how to add a close button to the quick access toolbar next time. Stay tuned.
Wat is er gebeurd met kop- en voetteksten in PPT 2007?
Kop- en voetteksten gedragen zich niet meer op dezelfde manier in PPT 2007 zoals ze in PPT 2003 deden. Wanneer je nu een voettekst, datum of dianummer toepast worden deze als individuele tekstvakken toegevoegd op iedere dia.
Dat maakt het natuurlijk extra moeilijk wanneer je alle objecten op een dia selecteert. Als je niet voorzichtig bent worden meteen ook deze vakken geselecteerd en eventueel per ongeluk gewist.
Ook bij het importeren van een PPT 2003 presentatie in PPT 2007 worden de voettekst, datum en dianummer individuele tekstvakken. Wat het aanpassen zeker niet eenvoudig maakt.
In versie 2003 was het gemakkelijk om nog extra tekst toe te voegen aan het dianummer of de datum. Het volstond van op het diamodel te klikken in de tijdelijke aanduiding en de tekst handmatig in te typen. Nu kan dat nog maar dan moet je dit wel op de individuele dia-indelingen doen, en er zijn en maar liefst negen!
Natuurlijk zijn er ook nog een aantal voordelen aan de nieuwe werkwijze. De inhoud van de tekstvakken kan per dia worden aangepast en je kan indien nodig op bepaalde dia's de vakken eenvoudig verwijderen of verplaatsen.
Bovendien loop je nu niet meer het risico dat de tijdelijke aanduidingen worden bedekt door een of andere afbeelding die je op het diamodel hebt aangebracht.
What's happened to header and footers in PPT 2007?
Headers and footers do not behave in the same way as in PPT 2003. Now when you insert a footer, slide number or date, these boxes will be inserted as individual boxes on every slide.
That makes life very difficult when selecting objects on a slide, if not careful you can easily select the footer, date and page number box and delete it by accident.
Also when importing a PPT 2003 presentation into PPT 2007 the footer, date and slide number box become individual boxes, thus preventing an easy edit if something has to change.
In version 2003 it was easy to add text to the numbering or date placeholder. It sufficed to click in the box on the master and type in the text. If you want to do that now you have to edit each and every individual slide design. And there are 9 of them.
But there are some advantages to the new way of working. Text in footers for example can easily be altered on any slide you want. If necessary you can easily eliminate/move the textboxes on slides as they are easily selectable.
And of course footers, date and slide number are always visible even when you add a picture on the master that covers them.
Move your PPT QAT settings to another computer
Say you have made many modifications to the Quick Access toolbar on your computer and you want to copy them to another computer. Is it possible? Yes it is. Here's how.
- Exit PPT if necessary.
- Start Windows Explorer and hit F3.
- Search for the following file "PowerPoint.qat". Make sure you search for hidden files included.
- You should find it under the following path:
Windows Vista, Windows 7 and Windows 8:
C:\Users\Username\AppData\Local\Microsoft\Office
Windows XP
C:\Documents and settings\Username\Local settings\Application data\Microsoft\Office
- Copy the file, go to the other computer and paste it in the same directory.
That should do it.

Part 5
Finally we animate the lonesome rectangle.
- Now select the rectangle you put behind the progress bar.
You can use the Selection and visibility task pane to select it (Home tab – Editing group – Selection button) or you can press the tab key till the object is selected.
- Click the Add effect button, select Entrance and finally Appear. Click the dropdown next to Begin and choose With previous.
- Now drag the orange rectangle for the beginning of the animation up to 29,5 seconds on the timeline.
- Double click the animation, select the effect tab, next to Sound choose an appropriate sound or click Other sound and browse for a sound on your computer.
- Now test your animation by clicking on the Play button in the animation task pane.
If every thing fits leave the master by clicking on the Close master view button in the Close group.
- Retest if the animation works. The animation starts on click. Lasts for 30 seconds and ends with a sound.
That's it, a simple timer using PowerPoint's animation capabilities.
Stap 5
Tenslotte animeren we de eenzame rechthoek.
- Selecteer nu het object dat achter de progressiebalk ligt. Gebruik zonodig de tab-toets om je object te selecteren. Of activeer het taakvenster Selectie en zichtbaarheid, op de Start tab in de groep Bewerken klik je op de knop Selecteren en kies voor Selectiedeelvenster.
- Klik op de knop Effect toevoegen – selecteer Ingang – selecteer Verschijnen.
Klik op het lijstpijltje naast Begin en kies Met vorige.
- Sleep met het oranje driehoekje dat het begin aangeeft tot op 29,5 seconden op de tijdsbalk.
- Dubbelklik de animatie in het taakvenster. Selecteer het tabblad Effect en kies een gepast geluid naast de rubriek Geluid. Eventueel kan je hier kiezen voor Ander geluid en naar een geschikt geluid zoeken op je computer.
- Klik op de knop Afspelen rechts in het taakvenster. Controleer onderaan de tijdslijn of de tekstvakken met de cijfers wel degelijk samenvallen met de animatie.
- Klik op het tabblad Diamodel en selecteer de knop Modelweergave sluiten in de groep Sluiten.
- Voer opnieuw een test uit in de presentatie. De animatie start met een klik, duurt 30 seconden en eindigt met een geluid. Alle nieuwe dia’s krijgen dezelfde animatie aangezien alles in het diamodel is ingevoegd.
Dit was het dan, een eenvoudige manier om via animatie een timer in te stellen.
Part 4
It is time to animate the objects on the master. Let's start with the first one:
- Select the progress bar, which remember is a group consisting of a rectangle and some textboxes.
- Choose the Animations tab, click on the Custom animation button in the Animation group.
- The custom animation task pane appears. Drag it to the bottom of the screen, it will automatically dock. You’re under no obligation to do so but makes it easier to add the exact timing.
- Click the Add effect button, select Entrance and finally Wipe. Click the dropdown next to Direction and choose from left. Now click the listarrow next to the animation entry in the taskpane. Select advanced timeline.
- Hover the mouse pointer above the far end of the little orange bar. You will see a screentip appear stating the begin and end timing of the animation. Drag the end timing till 30 seconds appears.
Deel 4
Nu gaan we de animatie toevoegen aan de twee objecten. Wij starten met het eerste gegroepeerde object:
- Selecteer de progressiebalk. Klik op het tabblad Animaties, selecteer de knop Aangepaste animatie in de groep Animaties.
- Sleep het taakvenster Aangepaste animatie naar onderaan het scherm. Deze neemt nu de volledige breedte van het scherm in.
- Klik op de knop Effect toevoegen – selecteer Ingang – selecteer Wissen. Klik links op het lijstpijltje naast Richting en kies van links. Klik op het lijstpijltje naast de animatie en kies Geavanceerd tijdschema weergeven.
- Plaats de muis op het einde van het oranje tijdsvak, je zal een screentip zien verschijnen met een indicatie van begin- en eindtijd.
- Sleep het einde van de animatie naar 30 sec.
Part three
Now we add the invisible object which will supply the sound when time is up.
- Choose the Insert tab, click on the Shapes button in the Illustrations group. You can choose any shape to do the trick. The rectangle will do nicely.
- Draw the rectangle on the progress bar.
- Click the Shape border button in the Shape style group on the Format tab. Click on No border.
- Now put the shape in the background using the Send to back button in the Arrange group on the Format tab.
This object will be animated with a sound in the next entry of the series.
Deel 3
Als laatste item gaan wij nog een object toevoegen dat voor het geluid moet zorgen.
- Klik op het tabblad Invoegen – kies Vormen – selecteer het eerste pictogram onder de rubriek Rechthoeken.
- Sleep een rechthoek bovenop de progressiebalk in de rechterbenedenhoek.
- Klik op het tabblad Opmaak – kies de knop Omtrek van vorm in de groep Vormstijlen en kies Geen kader.
- Plaats de vorm op de achtergrond. Klik op het tabblad Opmaak op de knop Naar achtergrond.
Dit object gaan we in bijdrage 4 animeren en er een geluid aan toevoegen.
Part 2
As a second step we will add the time indications on the progress bar.
- Click the Insert tab - choose the Textbox button in the Text group.
- Drag a textbox on top of the progress bar, adjust height and width if necessary.Type a time indication for instance 15.
- Click on the Center button in the Paragraph group.
- Click on the Format tab. Choose the dialoguestarter button in the WordArt styles group.
- Click on the second thumbnail of the last row.
- Adjust the size of the text to 24 pt using the mini toolbar.
- Copy your texbox using the ctrl+drag method. Edit the timing in the textbox.
- Once all your textboxes are in place align them in accordance to the slide. Choose the Format tab, click the Align button in the Arrange group. Select Align to slide, again click on the Align button choose Distribute horizontally.
- As a last step select the progress bar and the textboxes and group them. In the Arrange group just click the Group button and choose Group.
Deel 2
Als tweede stap gaan wij de tijdsindicatie aanbrengen.
- Klik op het tabblad Invoegen – klik op de knop Tekstvak in de groep Tekst.
- Sleep een tekstvak op de progressiebalk, pas eventueel de grootte aan door te slepen met de handgrepen. Typ meteen de waarde in bv. 15.
- Klik op de knop Centreren in de groep Alinea.
- Klik op het tabblad Opmaak – kies de dialoogstarterknop in de groep Stijlen voor WordArt. Kies onderaan het tweede pictogram van de laatste rij.
- Vergroot via de mini opmaakbalk de puntgrootte tot 24 pt.
- Kopieer nu een aantal keer het tekstvak via de ctrl-toets, pas het getal iedere keer aan.
- Laat nu alle tekstvakken uitlijnen ten opzichte van de dia. Klik op het tabblad Opmaak, klik op de knop Uitlijnen in de groep Schikken. Kruis Uitlijnen op dia aan.
Kik terug op de knop Uitlijnen en selecteer Horizontaal verdelen.
- Selecteer nu de blauwe rechthoek en de tekstvakken en groepeer die. Klik op de knop Groeperen in de groep Schikken en selecteer Groeperen.
Part 1
We want the progress bar to appear on every slide. So we will put it in the master slide.
- Click on the View tab
- Click on the Slide master view button in the Presentations views group
- Click on the master slide at the top
- Draw a rectangle at the bottom of the master using the Shapes button in the Illustrations group on the Insert tab.
- If you want you can change the fill using the contextual tab Format.
- In any case click on the Format tab, in the Shape styles group choose the Shape outline button and select No border.
Deel 1
Aangezien wij de progressiebalk op iedere dia willen gaan we die in het diamodel opnemen.
- Klik op het tabblad Beeld.
- Kies de knop Diamodel in de groep Presentatieweergaven.
- Selecteer het diamodel door erop te klikken.
- Teken een rechthoek via het tabblad Invoegen – Vormen – kies het eerste pictogram onder rechthoeken. Sleep de rechthoek onderaan het diamodel.
Je kan de vulling eventueel veranderen als je niet tevreden bent met de standaard blauwe vulling.
- Klik op het contextueel tabblad Opmaak – kies de knop Omtrek van vorm in de groep Vormstijlen – kies Geen kader.
Simple timer for a short quiz in PPT 2003/2007
Recently a user asked me if one could create a simple timer for a quiz. He wanted to have a progress bar run to 30 seconds, and a sound playing when time was up.
Well, you can do that easily using animation in PowerPoint 2003/2007.
In the following entries I will describe step by step how to go about it. So keep in tune.
Eenvoudige timer voor een korte quiz in PPT 2003/2007
Niet lang geleden vroeg een gebruiker mij of het mogelijk was een eenvoudige timer te creëren in PPT. Hij wou een vooruitgangsbalk met daarin een tijdsaanduiding tot 30 seconden. Daarenboven moest op het einde van de dertig seconden een geluid worden afgespeeld om aan te geven dat de tijd om was.
Dit kan je gemakkelijk realiseren, in de volgende bijdragen leg ik stap voor stap uit hoe je het aanpakt. Blijven lezen dus.
