Reduce size of a Word handout in PPT 2003

If you want hand-outs you can send a PPT file to Word. File menu, Send to, Microsoft Office Word. You can choose between different styles, but it can take a lot of time and can crash from time to time. Many people complain about the enormous increase in size, which leaves you with a huge Word file. Something can be done about that though.

When you send to Word you can choose between pasting and paste linking to the PPT file.
If you want to keep the size limited choose paste link. That will in itself reduce the size considerably. But if you unlink the slides in Word (press the Alt+F9 combination to see the links) you will get a dramatically reduced file. To do so select the entire document in Word and press Ctrl+Shift+F9. Then save the document again.

I tested this with a PPT 2003 file of 1.9 Mb.
The paste option resulted in a file of 7.7 Mb.
The paste link option resulted in a file of 3.9 Mb
The unlinked Word document resulted in a file of 877 Kb.

Schaakbord tekenen - deel 2: omzetten van de tabel naar een afbeelding en verder opmaken

Om van de tabel een echt schaakbord te maken gaan we de tabel omvormen tot een afbeelding en die verder opmaken.

Selecteer je tabel, klik op de knop Kopiëren op het tabblad Start. Klik op de knop Plakken, kies Plakken speciaal, selecteer Afbeelding (enhanced Metabestand).

De tabel is nu omgezet in een afbeelding. Meteen zie je rechtsboven de nieuwe contextuele tab verschijnen 'Hulpmiddelen voor afbeeldingen'.

Klik op het tabblad 'Opmaak' en selecteer in de groep 'Afbeeldingsstijlen' het dialoogstarter knopje. In het dialoogvenster 'Afbeelding opmaken' klik je op Opvulling, je selecteert het keuzerondje 'Opvulling met figuur of bitmappatroon'. Klik op het knopje 'Bitmappatroon' en selecteer een geschikte vulling, hier heb ik het allereerste pictogram gekozen nl. papyrus.

In de groep 'Afbeeldingsstijlen' - knop 'Afbeeldingseffecten' - 'Schuine rand' - kies je het laatste pictogram van rij 1 'Gave helling'.

Klik opnieuw op de knop Afbeeldingseffecten en kies deze keer voor 3D-draaiing. Onder de rubriek Perspectief kies je het tweede icoontje van rij 2. Perspectief ongeforceerd gemiddeld.

Ten slotte kies je opnieuw '3D-draaiing' en onderaan 'Opties voor 3D-draaiing'. Pas de rotatie aan met de verschillende opties tot je het gewenste resultaat bekomt.

Je schaakbord zou er nu zo moeten uitzien:

In order to be able to format the checkerboard further we will turn the table into a graphic.
Select your table - hit the copy button on the Start tab - click Paste button - Paste special - choose Picture enhanced metafile.

Now your table has been transformed into a graphic. See the contextual tab that has changed to Picture tools in stead of Table tools.

In the Picture styles group click the dialogstarter arrow, in the dialog 'Format picture' choose Fill, check radio button next to picture or bitmap fill, click on the bitmap pattern button, choose a suitable fill, here I have chosen the first pattern, papyrus.

In the Picture styles group click the Picture effects button. Choose bevel and select the last icon of the first row:

Now click the Picture effects button again and choose 3D-rotation, under Perspective, click on the second icon from row 2.

Finally click on 3D-rotation again and choose 3D-rotation options at the bottom. Adjust your checkerboard rotation as needed using the different tools.

Your checkerboard should now look like this:

1. Tabblad Invoegen - Tabel - sleep 8 bij 8 (je zou nu een tabel moeten bekomen met de volgende afmetingen:
   breedte = 16.93 cm hoogte = 8,24 cm
2. Tabblad Ontwerpen - groep Stijlen voor Tabellen - kies geen stijl, tabelraster (eerste optie, tweede rij).
3. Tabblad Indeling - groep tabelgrootte - naast hoogte stel je in 18 cm - naast breedte stel je in 18 cm.
4. Selecteer de tweede cel van de eerste rij - tabblad Ontwerpen - Groep Stijlen voor Tabellen - Arcering - Meer opvulkleuren - kies zwart - OK.
5. Selecteer nu iedere cel die een zwarte arcering moet krijgen en druk F4. Herhaal voor alle andere rijen ofwel startend met de eerste of de tweede cel.
6. Selecteer de tabel - tabblad Ontwerpen - groep randen - naast pendikte kies je 6pt. in de groep stijlen voor tabellen - knopje randen - kies buitenrand.
7. Dit alles geeft je het volgende resultaat.

In de volgende bijdrage gaan wij de opmaak en uitzicht van de tabel aanpassen. Daarbij maken we gebruik van de nieuwe grafische mogelijkheden van PPT 2007.

1. Insert tab - Table - 8 by 8 (you should get the following table:
   width = 6.67" height = 3.24"
2. Design tab - Table styles group - Choose No style, table grid (first thumbnail, second row).
3. Contextual tab Layout - Table size group - Next to height put 7" - Next to width put 7".
4. Select the second cell of the first row, Design tab - Table styles group - Shading - More colors - choose black - OK.
5. Now select every cell that needs to be black and press F4. Repeat for the next rows, alternatively starting with the second or first cell.
6. Select the table - Design tab - Draw borders group - next to pen weight, choose 6 pt. In the table styles group - click Border - choose outside border.

That should give you the following table:

Not long ago someone asked me if it was possible to draw a checkerboard in PowerPoint. He was not satisfied with the pictures he found on the internet.

Well it's not all that difficult. You can draw your own checkerboard in PPT in a few steps. And make use of the latest tools PPT 2007 provides.

Laat ons van de veronderstelling uitgaan dat je een aantal grafieken uit een PPT 2003 bestand wil kopiëren naar een PPT 2007 presentatie. Maar je wilt tegelijkertijd de mogelijkheid hebben om de nieuwe gereedschappen van de versie 2007 te gebruiken.

Eigenlijk is dat niet zo moeilijk. Kopieer en plak de PPT 2003 grafiek.

Dubbelklik op de grafiek. In het daaruit volgend dialoogvenster kan je kiezen tussen Converteren - Alles converteren - Bestaande bewerken.

Maak je keuze, de grafiek wordt geconverteerd en alle contextuele tabbladen zullen beschikbaar zijn om je grafiek te bewerken.

Say you have a PPT 2003 presentation containing some charts and want to copy those charts to PPT 2007. But you want to be able to edit the chart and use all the new tools available.

Well it's not at all that difficult, copy and paste the PowerPoint 2003 chart. Double click the inserted chart and you will be presented with a dialog which allows you to convert, convert all or maintain existing format. 

Make your choice. The chart will be converted and all the contextual tabs available to edit your chart.

Tabelstijlen (2007-2010)

PowerPoint 2007 beschikt over een flink aantal tabelstijlen. Standaard wordt altijd een stijl toegepast die een apart geformatteerde koprij bevat en gestreepte kolommen en rijen.

Als de standaardstijl die PPT toepast je niet past kan je altijd een andere stijl als standaardstijl instellen. Het volstaat van rechts te klikken en te kiezen voor 'Als standaard instellen'. Helaas kan je geen zelfgemaakte stijl ontwikkelen en die als standaardstijl instellen. Dit is ook in PowerPoint 2010 het geval. Er is dus nog ruimte voor verbetering.

In het snelmenu staan nog twee extra opties die van pas kunnen komen nl. 'Toepassen (en opmaak wissen)' wat de standaardinstelling is als je een tabelstijl aanklikt of 'Toepassen en opmaak behouden'. Deze laatste kan heel nuttig zijn.

Stel dat je een tabel hebt aangemaakt gebaseerd op een standaardstijl. Maar je hebt een en ander aangepast aan de randen en arcering van cellen. Je wilt nu een andere stijl toepassen zonder al die speciale formattering kwijt te geraken. In dat geval kan deze optie van goudwaarde blijken.

Vooraf: eerste cel kreeg een andere vulkleur, de eerste rij en kolom kregen een andere scheidingsrand.

Table styles

PowerPoint 2007 has many table styles, all of them have a header row and banded rows set by default. If you do not want the default proposed by PowerPoint you can right-click the style you want in the gallery and choose set as default style.

There are two more options in the quick menu that can be of use, apply and erase formatting, and apply and keep formatting.


The second can be a timesaver, say you have applied different borders and fills to some table cells. But now you want to apply a different style to the table and in the process not lose the formatting of those particular cells. That is when this option really comes in handy.

Before: first cell has a different fill, first row and column have a different border line applied.

Met de animatie Vergroten en omdraaien kan je een object in tegenwijzerzin laten draaien. Kan je dat ook in wijzerzin? Helaas kan dat niet met deze animatie. Maar je kan het natuurlijk altijd faken.

Pas twee animaties toe, een eerste ingangseffect verschijnen en vervolgens een tweede nadrukeffect draaien (met vorige).

Het object zal 360° draaien in wijzerzin. Je kan zelf bepalen hoe er gedraaid wordt door te dubbelklikken op het nadrukeffect in het animatiedeelvenster en onder de tab Effect bij aantal je draairichting en het aantal graden te kiezen.

You can't, but you can fake it.

Just combine the entrance effect appear and the emphasis effect spin (with previous).
